When Working from Office

Choice of Workdays

Most organisations allow employees a choice to determine on which days of the week they work from office and on which days they work from home.

RELATABILITY: Do you prefer the concept of choosing your days, or is it hard for you to relate to? Rate your relatability to 'Choice of Work Days' from 1 (not at all) to 10 (very well).

Travelling to Office

Office commute, parking can be a make or break touchpoint for many. People choose their place of work conveniently such that travel does not take up too much time and effort.

RELATABILITY: Post-Covid, some struggle with commuting while others enjoy it as routine. How do you feel about commuting to the office? Rate your relatability from 1 (not at all) to 10 (very well).

EASE OF USE: Travel can be tough if it's costly, time-consuming, or parking is hard. How easy is your commute to the office? Rate it from 1 (huge effort) to 10 (very easy).

Registering Office Attendance

Different organizations track attendance differently. Digital methods have replaced paper records. Badge swipes and virtual sign-ins are popular, while AI facial recognition is gaining prominence. Some small offices, however, may not have formal attendance tracking.

RELATABILITY: How well do you relate to your organization's attendance system? Rate it from 1 (not at all) to 10 (very well).

Finding a Seat in the Office

Previously, most organizations offered dedicated seats for every employee. Now, a seat is mainly for focus work, and there are other activities like collaboration. Some offices require booking a seat, space, or room beforehand, while others allow occupying any free spot. Different models are being used.

Choice of Work Settings

Many workplaces offer diverse settings for work: desks, telephone booths, focus pods, lounges, etc. Work isn't confined to desks anymore.

RELATABILITY: How do you feel about varied work settings? Some prefer a dedicated desk all day. Other don't. Rate your relatability to different settings from 1 (not at all) to 10 (very well).

Signing in and out of different digital platforms

Throughout a workday, employees use various digital platforms for different tasks: emails, reports, and seat booking may each require separate applications. This post-Covid dependency on multiple platforms can be challenging. Tech companies are working to integrate these tools to streamline workflows and reduce the need for multiple sign-ins and devices.

Spaces to meet others

Throughout a workday, employees engage in various activities including meetings with colleagues and external partners. Different types of interactions require different spaces: formal presentations need equipped meeting rooms, while informal discussions can take place in casual settings like lounges.

RELATABILITY: How comfortable are you moving between spaces throughout the day to meet with others? Are you open to inviting colleagues to join you in your space for a chat? Rate your comfort with using different spaces for in-person interactions from 1 (not comfortable) to 10 (very comfortable).

EASE OF USE: How easy is it to find suitable free spaces for the type of meeting you need? Rate your ease of finding a space for in-person meetings from 1 (very difficult) to 10 (very easy).

Virtual Interactions

Meetings in offices now include both in-person and virtual sessions. Employees often have multiple virtual meetings using platforms like Zoom and MS Teams throughout the day. Effective virtual interactions require appropriate technology support such as large screens and microphones, with dedicated spaces in modern offices for these purposes.

RELATABILITY: How well do you relate to the kind of facilities (tech and space) that are provided in your office for effective virtual interactions? Rate your affinity for virtual interaction facilities on a scale of 1(unrelatable) to 10 (very relatable).

Spaces for focus/quiet work

In offices, uninterrupted spaces for focused work are essential amidst open-plan settings. Many organizations now offer dedicated spaces like focus pods, rooms, and booths for this purpose.

RELATABILITY: How well do you relate to having access to quiet spaces in the office? Does this concept feel unfamiliar to you? Rate your alignment with settings for focused or quiet work from 1 (not aligned) to 10 (very aligned).

Getting Coffee

Coffee, tea, water, and other refreshments are essential for an energized workday. They enhance focus, motor skills, and cognitive function while fostering relationships among colleagues. Strategically placed coffee machines facilitate both formal and informal interactions, promoting team bonding and enhancing visitor experiences.

EASE OF USE: How convenient is it to get drinks in your office for yourself, your team, or guests? Rate the ease of access on a scale of 1 to 10: 10 for very easy, 1 for very difficult.

Getting Food

Office food options, whether free, subsidised, or diverse in the cafeteria, contribute to employee satisfaction. Some bring homemade meals, easily warmed onsite. Sharing meals fosters team bonding and enhances company culture, while appropriate food choices boost energy and productivity.

RELATABILITY: How do you feel about the food options and the arrangements in your office? Rate your liking on a scale of 1 to 10: 10 if you love them, 1 if you don't relate to the choices and arrangements.

EASE OF USE: How convenient is it to get food in your office? Rate your experience on a scale of 1 to 10: 10 for very easy, 1 for very difficult.

Wellness at Work

Workplace wellness is increasingly vital today, given the demands of multitasking and tight deadlines. Employers now offer gyms, yoga, meditation, sports facilities, medical support, nap rooms, and programs promoting their use to enhance both physical and mental wellness at work.

RELATABILITY: How do you feel about your employer's wellness programs and facilities? Rate your satisfaction on a scale of 1 to 10: 10 if they align well with your needs, 1 if they feel mismatched or irrelevant to you.

EASE OF USE: Are the wellness facilities easy to access? Can you easily join programs, or is it confusing? Rate your ease of participating on a scale of 1 to 10: 10 for very easy, 1 for very difficult (e.g., due to a busy gym or boss disapproval).

When working from Home

Home Office Setup

For effective 'work from home' days, a good setup includes reliable computer equipment, broadband, adequate space, furniture, and climate control.

RELATABILITY: How well do you relate to your home office setup? Rate your satisfaction on a scale of 1 to 10: 10 if you relate well, 1 if it doesn't suit your needs for productive work.

EASE OF USE: Rate the ease of working from your home office compared to the office on a scale of 1 to 10: 10 if very smooth, 1 if challenging or unsatisfactory.

Access to People at Work

Working from home means virtual access to colleagues, eliminating the ability to quickly resolve issues in person. Communication now requires scheduling calls, which some find less efficient. Throughout the day, remote work may involve contacting team members, bosses, colleagues from other teams, or IT for computer issues.

RELATABILITY: How comfortable are you with reaching out to people virtually while working remotely? Rate your comfort level on a scale from 1 to 10: 10 if you relate very well to virtual communication, 1 if you can’t get used to it at all.

EASE OF USE: Rate how easy it is to contact colleagues when needed, comparing to being in the office, on a scale of 1 to 10: 10 for very easy, 1 for very difficult.

Access to Relevant Information

Accessing timely information is crucial for productivity. In the office, it's available via physical or virtual filing systems or colleagues. Remote work may pose challenges if information is in physical files or not readily shared. Alternatively, cloud storage can make access easier.

RELATABILITY: Rate your comfort with accessing relevant information remotely on a scale of 1 to 10: 10 if very comfortable and familiar, 1 if not relatable.

EASE OF USE: Rate your ease of accessing information remotely on a scale of 1 to 10: 10 for easy, 1 for difficult.

Working Collaboratively

Remote work isn't just solitary focus work; it involves calls and virtual meetings with team members, clients, and others. Collaboration differs from in-office work where quick, in-person problem-solving and in-person meetings are possible. Remotely, everything becomes virtual.

RELATABILITY: Rate your comfort with virtual collaboration while working remotely on a scale of 1 to 10: 10 if very comfortable, 1 if not relatable.

Food & Refreshments when Working from Home

The right food and hydration are crucial for brain and body function, impacting productivity. Accessing water, coffee, and food while working from home differs from office routines. Some find it convenient to access these at home, while others may prefer or are accustomed to office setups.

RELATABILITY: How do you feel about having lunch (probably alone) at home during the workday? Rate your comfort with fixing your meals and refreshments while working from home on a scale of 1 to 10: 10 if it's familiar and very comfortable for you, 1 if it's unfamiliar or challenging.

EASE OF USE: How easy is it for you to fix your own lunch or coffee? Is it time-consuming or costly? Rate your ease of getting food and refreshments while working remotely on a scale of 1 to 10: 10 for easy and effortless, 1 for very tough.

Wellness when Working from Home

Workplace wellness often extends to home offices, incorporating programs like counselling, gyms, yoga, meditation, and sports facilities for remote workers, mirroring office benefits.

RELATABILITY: Is ’wellness while working from home’ sound alien to you? Rate your comfort with the idea of accessing wellness programs from home on a scale of 1 to 10: 10 if very relatable/comfortable, 1 if completely uneasy (preferring office interactions).

EASE OF USE: Rate your ease of accessing wellness facilities and programs while working from home on a scale of 1 to 10: 10 for very easy, 1 for very difficult.
